AAI agents

AI agents that do the back-office reading, coding, and chasing.

Agents read the documents and email your team handles every day, make the routine calls, and hand people the judgment calls. They run on the systems you already use, with a human check wherever money moves.

What's included

Software that reads, decides, and drafts, then hands you the judgment calls.

AP and AR automation
An agent reads vendor invoices from your AP inbox, codes them, and queues bills for approval. Statements, aging, and deduction classification run on their own.
Purchase order intake
Retailer POs read from email, PDF, and portals, checked line by line, and written into your order system with a review step before anything ships.
Logistics and supply chain agent
Tracks production at your suppliers and every inbound shipment to arrival, then ties those dates to your demand plan and pricing so stock keeps flowing and cash outlays stay low, without overstock or stockouts.
100vendor invoices a month handled by one AP agent
<1%error rate on coded invoices
8 hrsof keying and coding taken off the team each month

From an ongoing engagement with a consumer brand. Client name withheld under confidentiality.

You probably need this if

  • Invoices and purchase orders are keyed in by hand from PDFs and email.
  • Someone spends mornings chasing suppliers and forwarders for dates.
  • Deductions pile up because nobody has time to classify them.
  • You hear about a late shipment at the same time the retailer does.

Questions about AI agents

What can an AI agent do that a regular automation can't?

A script follows fixed rules. An agent can read a messy invoice or email, work out what it is, and draft the next step, then hand anything unusual to a person. That covers the work that is too varied for rules and too repetitive for your team.

Will an agent pay bills or send orders on its own?

Not unless you want it to. By default, agents prepare the work and queue it for approval wherever money moves or something leaves the building.

Which systems do the agents work with?

Your existing inbox, accounting system, and order system, including QuickBooks, BILL, NetSuite, Shopify, Extensiv, and SPS Commerce.

How can I automate purchase orders that arrive as emailed PDFs and get them into my ERP?

Set up a pipeline with four steps: capture the PO email and attachment, extract the header and line items from the PDF, check them against your item master, prices, and ship windows, then write the order into your ERP or order system through its API, EDI, or an import file. Off-the-shelf document parsers handle clean, consistent PDFs. When POs come from many retailers in different formats, or need checks before they post, a custom AI agent handles the variation and holds anything unusual for a person to review. That is what West Atlas builds.

How do I reduce the time my team spends cleaning and classifying retail remittance data?

Pull remittance files and portal exports automatically, standardize them into one format, and let rules plus an AI classifier tag each line as an invoice payment, allowance, chargeback, shortage, or promotion deduction. Matched lines post on their own, and only the exceptions reach a person, with the backup attached. West Atlas builds this for CPG brands selling into retail, so deduction research starts from a clean list instead of a spreadsheet.

Does this only work for CPG brands?

No. West Atlas grew out of CPG, but the same work shows up anywhere physical products move: wholesale, distribution, e-commerce, and light manufacturing. If your team handles purchase orders, freight, inventory, or channel reporting, it fits.
